Position Overview
We’re seeking an Executive Assistant who can truly multiply our founder’s impact and ensure our day-to-day operations run smoothly. However, this goes well beyond standard administrative work. You will:
- Oversee and optimize our B2B marketing and social media channels.
- Coordinate and elevate internal team operations.
- Identify grants, awards, and funding opportunities, then help us craft top-tier applications.
- Serve as a key point of organization and communication within the startup.

This role is initially unpaid until Sustain-Ability Solutions secures funding through its first contracts.
Key Responsibilities
- Executive & Team Coordination
- Manage calendars, schedule meetings, and handle essential administrative details.
- In team meetings, capture high-level action items and to-dos (recordings/transcripts will be available).
- Update and maintain Notion boards (or similar tools) to ensure the entire team understands deliverables, timelines, and project statuses.
- Encourage clear communication and collaboration, clarifying any confusion on tasks or deadlines.
- Keep track of speaking opportunities for the Founder, help draft session descriptions, and continue to submit our candidacy for relevant speaking opportunities (Switzerland, EU, US events).
- B2B Marketing & Communications
- Own our social media presence on LinkedIn, Instagram, YouTube, and potentially other platforms.
- Create, schedule, and optimize posts using tools like MeetEdgar, and keep an eye on analytics.
- Upload, and maintain our video podcast across platforms such as YouTube and Spotify—ensuring descriptions, tags, mentions, and SEO elements are on point.
- Champion brand cohesion and consistent messaging, leveraging Canva or other design tools (preferably Adobe Photoshop, Illustrator, InDesign, Premiere, Audition) to craft or refine visuals.
- Website & Content Management
- Upload articles, videos, and updates to WordPress; make edits as needed for accuracy and clarity.
- Maintain best practices for SEO, user experience, and branding consistency.
- Liaise with the founder or any external designers if specialized website changes are required.
- Collect ideas, organize topics, draft articles, draft ebooks (most topics and the research will be provided) to help grow our “Sustainability and Profitability” Newsletter and video Podcast.
- Grant Writing & Funding Opportunities
- Research relevant grants, awards (business, sustainability), and funding programs aligned with our mission and offerings.
- Track deadlines and requirements, preparing submissions so we put our best foot forward.
- Work with the team to gather required documentation, ensuring thorough, high-quality proposals.
- Process Improvement & Collaboration
- Proactively identify ways to improve workflows—whether that’s optimizing a social media process, refining document organization, or suggesting new tech tools.
- Communicate openly about challenges, share potential solutions, and call on team members for support when needed.
- Remain flexible and enthusiastic about tackling new tasks, especially in a startup context where roles can evolve and overlap.
